Wimba — Privacy Policy

Wimba is a browser-based AI creative studio that lets you turn a prompt — or a full studio workflow — into video, images, voice-overs, and long-form narration. When you use Wimba, you place your account details and creative work in our hands, and we take that responsibility seriously. This policy explains, in plain language, what information we collect, why we collect it, who we share it with, and the choices you have.

A few principles guide everything below:

  • Clarity. We've written this policy to be readable, not to bury you in legalese. If anything is unclear, email us at support@wimba.ai.
  • Your content belongs to you. We do not sell your personal account information, and we never will.
  • Purpose-limited use. We use your data only for the purposes described here.
  • Security by design. We host on reputable infrastructure and take reasonable measures to keep your data protected.

This policy applies to our website at https://wimba.ai and our web application at https://app.wimba.ai. Wimba is a web product.


Information we collect

Account information. When you create a Wimba account — including through Google sign-in — we collect your name, email address, and the identifiers associated with your login. Authentication is handled by our authentication provider (see "Service providers we rely on" below).

Content you create. Wimba is a creative tool, so you'll submit prompts, scripts, text, uploaded files, settings, and other inputs to generate video, images, voice-overs, and narration. We process both the inputs you provide and the outputs the studio produces on your behalf so that we can deliver the service and make your work available in your account.

Usage and technical data. As you interact with the studio, we automatically record information such as the pages and features you use, actions taken, approximate device and browser details, IP address, and diagnostic logs. This helps us keep the product running, understand how it's used, and fix problems.

Billing information. When you buy credits or subscribe, payment details (such as your card number) are collected and processed directly by Dodo Payments Inc., which acts as the Merchant of Record and legal seller for your purchase. Wimba does not receive or store your full card details; we retain only limited records such as your plan, transaction status, and billing history.

Communications. If you contact support, respond to a survey, or otherwise reach out, we keep a record of that exchange so we can help you.


How we use your information

We use the information above to:

  • provide, operate, and maintain the Wimba studio and generate the outputs you request;
  • create and manage your account and keep you signed in;
  • process payments, credits, and subscriptions;
  • personalize your experience and remember your preferences;
  • analyze usage so we can improve features, performance, and reliability;
  • communicate with you about your account, service updates, and support requests;
  • send you product news and marketing where you've opted in (you can unsubscribe at any time); and
  • protect Wimba and our users, enforce our terms, prevent abuse, and comply with legal obligations.

Legal bases for processing

Where data-protection law such as the GDPR applies, we rely on one or more of the following legal grounds:

  • Contract — to provide the service you've signed up for, manage your account, and process your payments.
  • Consent — for optional activities such as marketing emails or displaying a testimonial, which you can withdraw at any time.
  • Legitimate interests — to secure our platform, understand and improve how the product is used, and prevent fraud and misuse, provided these interests are not overridden by your rights.
  • Legal obligation — to meet accounting, tax, and other regulatory requirements.

Service providers we rely on

To run Wimba, we share limited data with trusted third parties that process it on our behalf. Each is bound to use the data only to provide their service to us. We do not sell your data to any of them.

  • Authentication provider — authentication and account management, including Google sign-in. Handles your name, email, login identifiers, and session information.
  • Dodo Payments Inc. — payment processing and subscription billing as Merchant of Record and legal seller. Dodo handles your payment and billing details; Wimba does not see your full card number.
  • Cloud hosting, content-delivery, and storage provider — website hosting, content delivery, and object storage for the media you generate. Handles your uploaded and generated files, along with standard request and network data.
  • Product-analytics provider — product analytics to help us understand feature usage and improve the studio. Configured in a privacy-conscious, cookieless-capable way; handles usage events and technical identifiers.
  • Managed database provider — managed database hosting where your account records, project data, and related metadata are stored.
  • Third-party AI model providers — the engines that actually generate your video, images, voice-overs, and narration. To produce an output, the prompts and inputs you submit are sent to the relevant provider. These providers process that input to return the generated result.

Beyond these providers, we may disclose information:

  • to professional advisers such as accountants, auditors, or lawyers where reasonably necessary;
  • to authorities, courts, or others when required by law, to respond to legal process, to enforce our terms, or to investigate and prevent fraud, security issues, or illegal activity; and
  • as part of a merger, acquisition, financing, or sale of assets, in which case we will take steps to ensure your information remains protected and, where required, notify you.

We do not sell your personal account information, and we do not run advertising or share your data with ad networks.


Cookies and similar technologies

Wimba uses cookies and comparable browser storage to make the product work — not to advertise to you. We do not use advertising or ad-targeting pixels. The cookies we use fall into these categories:

  • Essential / sign-in cookies — required to keep you securely authenticated and to move around the app. Without these the service can't function.
  • Functional cookies — remember your preferences and choices so the studio behaves the way you expect.
  • Analytics — we measure product usage through our product-analytics provider, which can operate in a cookieless mode. Any analytics storage is used solely to understand and improve the product, never for advertising.

You can control or delete cookies through your browser settings. Blocking essential cookies may prevent parts of Wimba from working.


International data transfers

Wimba works with providers located in different countries, and some of your information may be handled in locations outside your own. Where we transfer personal data across borders, we take steps to ensure it receives an appropriate level of protection consistent with applicable law, such as relying on recognized transfer mechanisms and contractual safeguards with our providers.


How we protect your information

We take reasonable technical and organizational measures to safeguard your data. Access to personal information is limited to those who need it to operate the service, sensitive infrastructure sits behind secured networks, and payment transactions are handled through our provider's secure gateway. No system is perfectly secure, but we work to reduce risk. If a breach ever affects your account, we will notify you by email, along with recommended steps, in line with our legal obligations.


Data retention and deletion

We keep your information only for as long as needed to provide the service, meet the purposes described in this policy, and satisfy legal, accounting, or reporting requirements. When data is no longer needed, we delete it or archive it securely. If you close your account, we will delete or de-identify your personal information, subject to any records we're required to retain by law.


Your rights and choices

Depending on where you live, you may have rights over your personal information — for example under privacy laws such as the GDPR (for the EEA/UK) or the CCPA (for California). These can include the right to:

  • access the personal information we hold about you;
  • request a copy or export of your data;
  • correct inaccurate information;
  • request deletion of your data;
  • object to or restrict certain processing; and
  • withdraw consent where processing is based on consent.

To exercise any of these rights, email us at support@wimba.ai. We'll respond within the timeframe required by applicable law. You will not be discriminated against for exercising your rights.


Marketing emails and unsubscribing

If you've opted in, we may send you product updates, tips, and promotional messages. We honor all opt-out requests. Our marketing emails identify who they're from, avoid false or misleading subject lines, and include a clear way to unsubscribe. You can opt out at any time by clicking the unsubscribe link in any marketing email or by writing to support@wimba.ai. We may still send you essential service messages — such as billing receipts or important account notices — that aren't promotional.


Testimonials

With your permission, we may display testimonials about Wimba that include your name or other details you provide. We rely on your consent to do this, and you can ask us to update or remove your testimonial at any time by emailing support@wimba.ai.


Children

Wimba is not directed to children, and we do not knowingly market to or collect personal information from children under 13, consistent with the U.S. Children's Online Privacy Protection Act (COPPA) and similar rules. If you believe a child has provided us with personal information, contact us at support@wimba.ai and we will delete it.


Links to other websites

Wimba may contain links to third-party websites or services that we don't operate. This policy doesn't cover those sites, and we aren't responsible for their content or privacy practices. We encourage you to review the privacy policy of any site you visit.


Changes to this policy

We may update this Privacy Policy from time to time. When we do, we'll revise the "Last updated" date at the top of this page. Material changes take effect on the earlier of your continued use of Wimba or 30 days after we post the updated policy. We encourage you to review this page periodically.
